A Google Calendar and Office 365 Upsales sync offers you easy ways to book appointments in Upsales CRM and invite participants for appointments. If you create or get invited to appointments by an Upsales contact in your Google Calendar or Office365, the appointments will be visible in their customer card.
Link Google Calendar with Upsales
1. In your Upsales account, go to Settings by clicking on the gear icon at the top right. Under My Profile, select Google Calendar on the left side (If the app is missing ask your administrator to install the app in the Upsales App directory)
2. Click Activate
3. Click Connect to Google Calendar
4. You’ll be directed to Google to log in, and if you have multiple accounts, choose which account you want to connect to Upsales by.
5. Click Allow
6. At Upsales, all appointments have an appointment type. Choose which appointment type the appointments created in Google Calendar are to get registered as.
7. Click Save
Good things to know when connecting to Google Calendar
1. All appointments in Upsales & Google Calendar from today and three months onwards will get synced. See which appointments are created in Upsales below.
2. Attendees at appointments created in Upsales before the app was installed won’t bed synced to Google Calendar. All other information will be synced.

Book an appointment in Upsales
Once you have activated the Google Calendar or Office365 app, go to the calendar, appointment list, contact, or company and choose to create an appointment. A new field in the appointment will now be visible. Agenda is where you can write a greeting/agenda to other participants visible in the invitation. Once your appointment is created, the corresponding appointment will be visual in Google Calendar or Office365, and the contact will receive an invitation via email (provided the person has an email).
Good things to know about the sync between Upsales and Google Calendar or Office365
1. If you delete an appointment in Upsales, the appointment won’t be deleted from your Google Calendar or Office365.
2. The creator of the appointment must have the Google Calendar or Office365 app activated. Other participants in the appointment will otherwise (other users and external participants) receive an invitation.
3. If someone declines the invitation, the person will not disappear from the Upsales appointment.
4. Once the appointment has been passed through in Upsales, you will not change the date/time of the appointment. If the appointment was not canceled or rebooked, we recommend that you use the appointment outcome "Not completed" in Upsales. Then you can create a follow-up appointment to book a new time.
5. If you have invited another user to the appointment, the other user will not change the date, time, place, agenda, company, participant, or description in Upsales. Only the organizer can do that.
6. Appointments that are recorded back in time in Upsales will not be synced to your Google Calendar or Office365
7. The Integration do not support full day recurring events when they are booked from Google Calendar.
Include a link to Hangouts / Teams
When you book the Upsales appointment, you can include a link for video conferencing in the invitation to all participants. Using Google Calendar will create a Hangout link, and using Office365 will create a Microsoft Teams link. Once the appointment is made in Google or Office 365, the appointment link will appear in Upsales.
The room selection for Appointments
When you book appointments in Upsales, and the appointment is to be in the office, it’s smart to book the room immediately. In Upsales, you can see all available rooms (if they are listed as resources in Google & Office365) and choose to book that room for your appointment.

Log appointments from Google Calendar or Office365 in Upsales CRM
If you create an appointment in Google Calendar or Office365 and include an external contact in the appointment, the appointment will be made in Upsales. The appointment will be visible in your calendar, in the appointment list, in the contact timeline, and the customer card in Upsales. The same applies if a contact invites you to an appointment.
Good things to know about the sync between Google Calendar or Office365 to Upsales
1. If you delete an appointment in Google Calendar or Office365, the appointment will not be deleted in Upsales (Reccuring appointments will be deleted from Upsales if they are deleten in Google Calendar). We recommend using Upsales appointment results in Upsales for appointments that were not canceled/deleted in Google Calendar or Office365.
2. If you book an appointment in Google Calendar or Office365, where there are no other appointment participants, it will not be created in Upsales.
3. If you book an appointment in Google Calendar or Office365, where only participants who are users of Upsales, it will not be made in Upsales.
4. If a contact invites you to an appointment, we will try to match the suggestion by email in Upsales. If we find the communication by email, the appointment will be registered for that contact. Otherwise, the appointment will be created in Upsales without a company/contact and visible in your Upsales Calendar and appointment list.
5. The person who created the appointment outside Upsales must have the Google Calendar or Office365 app activated in Upsales. Other Upsales users will not see the appointment in Upsales.
6. If a contact invites you to an appointment, no one in Upsales will change the date, time, place, agenda, company, participant, or description in Upsales.
7. When the appointment is created in Upsales, the appointment type you specified when you installed the app will be used.8. We only sync from your main calendar in Office 365 and Google Calendar to Upsales.
FAQ
Here we collect tricky syncs and how the app handles these.
At my company, we can have different email domains and different aliases on email addresses. How does the app handle it?
To answer the question, we will need to produce an example where the user is a user with an Upsales license. A colleague is a colleague at the company who does not have a license in Upsales and an external participant who is neither a colleague nor a user in your Upsales account.

Some information may have aliases to their primary e-mail that allow appointment invitations to be sent to several different e-mail addresses men end up in their calendar in office365 or Google Calendar.
Scenario 1
An external participant invites you (User 1) via email karl@exempel.se and your colleague Johanna to the email address johanna.svennson@exempel.se.
Will the appointment be synced to Upsales?
The appointment will be synced to Upsales as it is an external participant at the appointment. However, your colleague Johanna will not be seen in Upsales as we can not find her among Upsales users.
Scenario 2
I (User 1) book an appointment in Office365 or Google Calendar with my colleague with her email johanna@gbg.exempel.se. Johanna is also available as a contact in Upsales with email johanna@gbg.exempel.se.
Will the appointment be synced to Upsales?
The appointment will be synced to Upsales because the app believes that Johanna is an external participant, and these appointments will be visible in Upsales. Johanna is not considered a colleague because her email is not on any user in Upsales, and her domain gbg.exempel.se is not on any other user in your Upsales account. When we then try to find contacts in your Upsales account on Johannes' email, she is found, and therefore the appointment will be created on her.
Scenario 3
I (User 1) book an appointment in Office365 or Google Calendar with my colleague with her email johanna@gbg.exempel.se. I have a colleague who is a user in Upsales with the same domain, gbg.exempel.se in Upsales. Johanna is also available as a contact in Upsales with email johanna@gbg.exempel.se.
Will the appointment be synced to Upsales?
The appointment will not be synced to Upsales because the app considers that Johanna is a colleague of yours thanks to another user in Upsales having the same domain as Johanna.
