To create a new email to send, complete the following steps:
- Select Send email from the top of the Sent emails list. You can also send emails in context from other areas in Upsales (such as from the company card) to pre-fill some of the details.
- You can select another user to show as the Sender on the email from the drop down list next to the currently signed in user name.
- To address the email, start typing the person’s name. Matching names from your Contact list are shown. Select a contact to add that person to the email.
- In the Copy field, you can add additional contacts or other Upsales users.
- If you want to use one of your email templates, select it from the Template drop down list. The template copy is added for the Subject and Body of the email.
- Enter a Subject for the email.
- To attach a file to the email, select Add file and locate the file you want to add. Attachments are shown under the subject and can be removed from the email if necessary.
- In the Body of the email, you have a number of editing tools to help you compose and format your message.
- Standard font, paragraph, table and line formatting options are available.
- Select Source if you want to edit the message in HTML.
- To add a clickable link, highlight the text you want the reader to click and select the Link icon. Paste the URL for the link destination and select OK.
- Tags allow you to insert generic fields into the email, like the contact’s name or company. To use a tag, select Insert tag and select it from the list. The tag will appear in {{double parenthesis}} while you are editing the message, but once it is sent, the tag will be replaced with the associated information.
- The email signature you have indicated as default for your profile is automatically added to the email. To include another email signature, select the signature you want to use from the Email signature drop down list. Note that you can only view email signatures to which you have been grated access (as a user or role).
- When your email is ready, you can perform one of three actions:
- Select Preview to enter email addresses to receive a test of the email. You can also preview the message in the browser.
- Select Schedule to send the message at a later time. You can select the date and time for the email to be sent and select Schedule.
- Select Send to send the message now.
Your sent email will be available from the Sent Emails list.
