How to use business central application

 

Seamlessly connect your sales and financial processes with Business Central and Upsales. Automate order and invoice syncing, eliminate manual data entry, and ensure your team always has access to up-to-date customer and transaction data. Save time, reduce errors, and drive efficiency with a fully integrated system.

Supported Modules

  • Orders: Syncs both ways. Historical orders are retrieved during initialization.

  • Invoices: One-way sync from Upsales to Business Central. Historical invoices are retrieved during initialization.

  • Quotes: Not supported at this time.

Getting Started

  1. Activate the Application

    • Go to the Upsales app library and activate Business Central integration.

    • If the app is not available, contact your account manager.

  2. Authenticate and Configure

    • Authenticate with Business Central and press Save.

    • Select the environment and company in Business Central.

    • Choose the stage in Upsales that should sync to Business Central.

    • Select a fallback user (if an order does not match an existing user, it will default to this user).

    • Decide whether to create orders or invoices in Business Central from Upsales.

  3. Initial Sync Process

    • Once authentication is successful, the sync process begins:

      1. Products: Imported from Business Central to Upsales.

      2. Clients: Only clients that have active orders/invoices

      3. Contacts: Only contacts linked to a client with an order are synced
      4. Historical Orders/Invoices: Imported depending on the selected module.

 

How to Use

  • Close an order or invoice in the matching stage chosen in the configuration in Upsales. It will automatically create this entity in Business Central.

 

Field Mapping

Product Fields

  • Name: Syncs both ways.

  • Article Number: Business Central > Upsales.

  • List Price: Business Central > Upsales.

  • Purchase Cost: Business Central > Upsales.

  • Active Status: Only syncs from Business Central > Upsales.

  • Custom Fields:

    • Unit Type: Business Central > Upsales.

    • Unit of Measure: Business Central > Upsales.

    • Product Category: Syncs from Business Central > Upsales during initialization.

  • Currency & Exchange Rate: Synced from Business Central to Upsales.

Account Fields

  • Name: Syncs both ways.

  • Phone: Syncs both ways.

  • Org Number: Business Central > Upsales.

  • Website: Syncs both ways.

  • Invoice Address: Syncs both ways.

  • Custom Fields:

    • Customer Number: Business Central > Upsales.

    • Email: Business Central > Upsales.

    • Payment Term: Business Central > Upsales.

    • Tax Area: Business Central > Upsales.

    • Shipment Method: Business Central > Upsales.

Order Fields

  • Date: Upsales > Business Central.

  • Description: Upsales > Business Central.

  • User: Upsales > Business Central.

  • Custom Fields:

    • ERP ID: Business Central > Upsales.

    • Payment Term: Business Central > Upsales.

    • Order Status: Business Central > Upsales.

Invoice Fields

  • Date: Upsales > Business Central.

  • Description: Upsales > Business Central.

  • User: Upsales > Business Central.

  • Order Reference: Business Central > Upsales (Populated by the contact name on the invoice).

  • Custom Fields:

    • ERP ID: Business Central > Upsales.

    • Payment Term: Business Central > Upsales.

    • Order Status: Business Central > Upsales.

    • Invoice Date: Upsales > Business Central.

Contact Fields

(Only contacts linked to a client with an order are synced)

  • Name: Syncs both ways.

  • Phone: Syncs both ways.

  • Cell Phone: Syncs both ways.

  • Email: Syncs both ways.

  • Custom Fields:

    • ERP ID: Business Central > Upsales.
