What happens when I switch from Activities to Tasks?
The upgrade is account-wide, meaning all users will move from activities to tasks.
Activities:
- All your open activities will be transformed into phone calls
- Custom fields for activities are transferred to Phone call fields
- No more activity types (don't worry, you'll still have control)
- About phone calls
To-dos:
A new type named 'To-do' which is specialized for single tasks
Activity list:
The activity list is replaced by Tasklist in your Sales tab
- About the Tasklist
- Your saved activity lists are now replaced by the task list default lists
- You can now create call lists to group your calls and show in the tasklist
Triggers & Automations
We are currently working on adapting these to Phone calls. For now, the activities created will not be visible inside Upsales.
- Navigate to your trigger/automation inside Settings > Business rules
- Scroll down to the Actions-section
- Add a new action and select to create activities instead of phone calls
New targets
For now, using these new targets is made optional. But in short, upgrading to tasks will automatically give you the new target types and the 'ongoing' feature.
-
- Ongoing phone call targets
- Ongoing appointment targets
- Ongoing pipeline targets
- Activity targets: Since your open activities will be transformed into phone calls you will not have any need for activity targets anymore.
The big difference between Activities & Phone calls
Insert signature > Didn't answer > Create a follow-up activity - Not anymore
Recognise the above? With Tasks, Upsales logs all your attempts with the click of a button to speed up work workflow. And, you can keep working in the same phone call with all your attempts and comments intact.
Activities | Phone calls |
Working in one phone call until it's completed gives you the complete history of all your attempts, comments and actions. This was previously split up by all your follow-up activities.
Guiding you through all the scenarios of a sales call
After interviewing 300+ sales reps. we started noticing recurring patterns in their sales calls. This resulted in what we call the 'Quick action buttons' which are designed to help the sales rep. through every scenarios of a sales call.
Quick-actions for all scenarios |
Full history overview
Save time and at the same time automatically log all your actions:
|
View contact, company and phone call history inside of the phone call
Previously with activities, users had to visit either the company or the contact page to view the history. This is now as easy as a click right inside of the phone call:
Forget the huge list of red dates - due date is now optional
Activities |
Tasks |
In activities, Upsales automatically added tomorrow's date as a due date. This resulted in most activities becoming overdue even though you meant to complete them "Sometime in the future".
This stole a lot of focus from the things that are urgent and really meant to be done today.
With Tasks, you now have the option of not adding a due date for To-dos and Phone calls. Upsales will then place it in a separate list for 'anytime'.
Improved relations between to-do's, phone calls, appointments and opportunities
Activities could only be related to opportunities. And we realise this wasn't the way your sales process worked. To-dos might often be the outcome of a phone call. And a phone call could often be the next step for an opportunity. The new way of working with relations gives you a complete overview of things related to your sales process.
Tasks in opportunitiesThe image to the left shows tasks in an opportunity. You can now add and relate to-do's, phone calls and appointments to opportunities. |
To-do's in phone callsSimply add the things you want to be answered during the call or things you should get done after the call. |
The difference between the Activity list and Tasklist
The Tasklist displays all your tasks. Not just activities
Having all your tasks in one place gives a better overview of what's important right now and makes sure nothing gets left undone.
Prioritised tasks
To-do's and Phone calls can now be marked as prioritised and will be shown before your other tasks.
Call lists
Basically, a way of placing calls in a list A typical case is when you've found a list of companies you'd like you, or your sales team, to contact. Plan calls, add them to a call list.
The call list will then automatically show up in the sidebar of the Tasklist for the user that the calls are assigned to. |
