You set up a routine by describing it in chat. There is no form with trigger and action fields — if you are looking for one, that is why you cannot find it.
This article covers:
- Creating a routine
- What to say
- Checking it before you trust it
- How to edit, pause or delete a routine
Creating a routine
Two ways in, both ending in the same conversation:
- Go to AI Workspace → Routines and click + New. This opens a chat that already starts with "I want to set up a new routine. Help me decide if it should be scheduled, event-triggered, or both, and what it should do."
- Or just say it in any chat: "Every Monday at eight, send me a summary of deals that moved last week."
The assistant asks what it still needs — when it should run, who it is for, how the output should reach you — and then sets it up. It appears on the Routines page.
What to say
Describe the job and the outcome. The assistant works out the trigger.
Good:
"Every weekday morning, look at deals with no activity in 30 days and give me the five most valuable ones with a suggested next step."
"Whenever a deal is won, write a short debrief on the account and suggest a follow-up."
Worth saying explicitly if you care:
- When — "every Monday at 08:00", "on the first working day of the month".
- Scope — "only my deals", "only deals over 250,000".
- Output — "post it to my Inbox", "draft it as an email to me".
- Who runs it — "let the Renewals Watchdog do this" instead of your assistant.
Checking it before you trust it
Do not wait until Monday. On the Routines page each row has:
- Test run — run it now and see what it produces.
- Runs — the history of what it did each time it fired.
- Chat — the conversation the routine writes into, with its full reasoning.
Test-run it once and read the output. It is the fastest way to catch a scope that is too wide or a summary that is not what you meant.
How to edit, pause or delete a routine
- Change it — say what you want different: "make the pipeline summary weekly instead of daily", "only include deals over 100k". You do not have to rebuild it.
- Pause it — use the toggle on the right of the row. History is kept.
- Delete it — ask, or use the routine's own menu.
