The types of activities and appointments you define for the team will be used in reporting and will help team members organize their work. We recommend that you set up just a few simple activity and appointment types.
Psst! You cannot remove activity or appointment types. You can change the name or merge two types to create a new one. If you change the name or merge two types, all activities and appointments assigned to the previous type will automatically get the new name.
Find Activity and Appointment types in the settings menu:
- Go to Settings by clicking the cogwheel in the right upper corner.
- In the left column, Activity and Appointment types is located under CRM
To create a new activity type, complete the following steps:
- On the Activity & Appointment types screen, select New Activity type.
- Enter the Name.
- Check the Default box if this activity type should be pre-selected for newly created activities.
- If the activity type should only be available to some users, select the role under Restricted to Role.
- Select Save.
To create a new appointment type, complete the following steps:
- On the Activity & Appointment types screen, select New Appointment type.
- Enter the Name.
- Select the color for displaying this appointment type on the calendar. You can click on the color and select Pick.
- Select one of the appointment types that will be identified as the "first" meeting type by checking the First box. Appointments marked with this type will show on the Sales board.
- If the appointment type should only be available to some users, select the role under Restricted to Role.
- Select Save.
You can edit an existing activity or appointment type by clicking on it and changing the name, role or default/first status.
To merge activity or appointment types, complete the following steps:
- Select Merge activity types or Merge appointment types.
- Select the first type you want to merge to a new type from the Type 1 drop down list.
- Select the second type you want to merge to a new type from the Type 2 drop down list.
- Enter a name for the New activity type name.
- Select Merge activity types or Merge appointment types.
All activities or appointments assigned to either of the previous types will automatically be changed to the new type.
