When to use a Flow
Flows are great for lead nurturing, as well as customising content for customers. For example:
- Sending emails with calls to action for your online campaigns
- Personalising follow-ups based on what leads are clicking on in your emails
How to create a new flow
- Click Marketing → Segments & Flows:
- Click the Flows tab:
- Click Create flow from the top of the Flows list:
- You have four template types to choose from:
- Welcome new customers
- Warm up cold leads
- Contact website visitors
- Target customers for upselling
- Click a template to make your choice, or click Create custom flow if you prefer to create from scratch
- Now decide the contacts who will be part of the Flow. This depends on the template type. For example, for a template welcoming new customers, click the time period to define a new customer as within 7, 14, 30 or 90 days:
- Click Settings:
- Add the flow name, click to choose the time to send emails, including time zone and whether to send at weekends:
- Tick the box to end the flow if the recipient has answered one of your sent emails within your chosen time period:
This step works when you sync your Gmail or Office 365
- Click the toggle to set a flow goal of booking a meeting with the contact or company. This automatically stops the flow when a meeting is booked:
- Click Edit flow to move to the next step:
- Depending on the template you choose, a series of customisable steps will appear
- To add a step, hover over the flow line and click Add and choose one of the flow categories:

Flows are based on a 3-step process:
Flow step 1: Actions
Start by adding an Action (what will happen inside Upsales):
Upsales tip: Use actions as dynamic tools that support your prospecting. For example, consider creating a to-do to engage with a contact on LinkedIn. This could be triggered when they complete a step in your Flow, such as downloading your white paper. Instant multi-channel engagement!
Flow step 2: Behaviour
This is how the prospect responds, so comes after an Action:
After you choose a behaviour, the flow automatically branches into Yes/no conditions.
Now you can make your flows more granular. Add an Action if the Behaviour happens (yes), and add an Action if the behaviour doesn't happen (no):
Flow step 3: Snooze (optional)
You can also add a Snooze (this delays the Action):
- To delete a step, hover over and click the trash can:
- When your flow is complete, click Save draft:
- You're now ready to activate the flow
Removing a step with other steps attached? All attached steps will be removed
How to activate a Flow
-
- Upsales will let you know if you need to edit the flow to make it active. Click the dropdown next to Draft:
-
If the Activate flow button isn't active, click Edit flow and fix any steps that have an exclamation mark icon:
-
Click Activate flow (here's where you can also pause an active Flow):
- Upsales will let you know if you need to edit the flow to make it active. Click the dropdown next to Draft:
If any contacts no longer meet the Flow criteria, Upsales removes them from the Flow. If the contact meets the criteria again, they join the Segment at the place where they were removed.
How to choose what happens when the Flow ends
When a contact reaches the end of a Flow, you can either make them:
- Exit the Flow
- Restart at the beginning
Here's how:
- At the end of the Flow, click Flow End point:
- Select End point to exit the flow or click Loop flow to have the contact stay in the loop
The loop flow includes a delay. This lets you choose the number of weeks or months to wait before the contact re-enters the flow. Minimum delay is 1 week.
How to organise Flow lists
- Click Marketing → Segments and then click the Flows tab:
- Click the dropdown to view:
